2.0 Interpretation of the document
This document gives an overview of the guidelines to be followed
by the candidates admitted to PhD Programme
through QIP to Pondicherry Engineering College.
Note:
Only
additional documents to be submitted by QIP scholars are detailed here. For all
other activities applicable refer to “PU – PhD Programme
Guidelines & Templates”, in the link available from the research homepage
of PEC.

2.0 Interpretation
of the document
The activities mentioned must be taken up in the order specified.
However, the additional formalities stated in section 3.4 needs to be carried
out in parallel in specified timings for the entire duration of the research.
The templates associated with the activities are linked next to them. They can
be downloaded by clicking the link provided.
Candidates are offered advance admission to Ph.D
programme one year prior to the final Ph.D admission process. During this advance admission / Pre
registration process, the scholar has to decide the research problem, carry out
literature survey and other preparatory work under the supervision of the
prospective guide and the Chairman of the Department. The
total duration of the visit should not exceed 60 days (sixty days) which may
spread over to 2 to 3 visits, each visit being for a period of 20 days or
more.
Only upon successful completion of the Pre-registration programme, the candidate will be offered final admission
to the PhD programme. The
sequence of activities and the relevant documents that need to be submitted are
detailed in the following sections.

The total
duration of the visit should not exceed 60 days (sixty days) which you may
spread over to 2 to 3 visits, each visit being for a period of 20 days or more.
The visit can commence as early as 1st August, but
not later than 31st December and should be completed within 30th
March of the academic year. It may please be noted that your number of visits
should not exceed four.

1. On the first visit, the candidate shall report to the Dean /Head of the Department/Principal with all the documents: · Joining report (with the following enclosures) Principal, Pondicherry Engineering College duly forwarded by: · Supervisor · HOD of the concerned department · Dean (Research), Pondicherry Engineering College Enclosures: a. Permission Agreement Annexure I b. Certificate of AICTE recognition Annexure II c. Sponsorship Certificate Annexure III d. Pre-Registration Form Annexure IV e. Relieving (order) Certificate Annexure V 2. For accommodation in the College hostel, contact Hostel Warden, PEC. 3. Prepare a brief report (at least two pages) as per Annexure VI at the end of each visit. |

Documents to be Submitted: 1. Submission of Pre-Registration Form Annexure VI 2. At the end of every spell of pre-registration, obtain a relieving order. 3. On completion of pre-registration (completion of 60 days), submit the pre-registration completion documents mentioned in this document list which includes successful Pre-registration completion Report, certified by supervisor. |

Only on satisfactory completion of 60 days training at PEC and compliance with all the requirements, an official final admission letter will be sent enabling the candidate to join for the final admission to Ph.D programme on 1st August of the current year. |

The following document to be submitted to the QIP coordinator, PEC: To be submitted at the time of admission: 1. Submission of Undertaking in stamp paper. 2. The candidate must open an account in the Canara Bank Branch at PEC and use the same for all claim requests. 3. Copy of AADHAR and PAN to be linked to the bank account 4. Submission of TA/DA claim for the pre-registration process (for all the slots taken) 5. Copy of AADHAR, PAN and first page of bank passbook. To be submitted every month: 6. QIP stipend claim including attendance details (to be submitted before 5th of every month) To be submitted every year: 7. Contingency claim (To be submitted before 1st October every year) 8. Annual Progress Report (To be submitted before 15th April every year) To be submitted at the end of QIP period: 9. Request letter to Principal. |
